These Terms of Service govern access to and use of the Orvensa platform and related services. By accessing or using Orvensa, you agree to these Terms.

1. The service
Orvensa is a software platform designed to assist recruiting organizations with candidate review and recruitment workflows.
The platform provides tools for managing job roles, reviewing candidate information, and generating AI-assisted evaluation outputs intended to support recruiters during candidate review.
Orvensa is provided as a cloud-based service operated by Kobenski BV.
2. Accounts and organizations
Access to Orvensa requires a user account linked to an organization workspace.
- Each organization has designated roles such as owner, administrator, and member.
- The organization owner is responsible for managing access to the workspace.
- Users must keep login credentials confidential.
- Accounts must not be shared between individuals.
3. Customer responsibilities
Organizations using Orvensa are responsible for ensuring that their recruitment practices comply with applicable laws, including employment, discrimination, and data-protection legislation.
- ensuring candidate data is collected and processed lawfully,
- providing appropriate privacy notices to applicants,
- ensuring recruitment decisions are made by qualified human reviewers,
- reviewing AI-generated outputs before making hiring decisions.
The organization acts as the controller for applicant data processed within the platform.
4. AI-assisted functionality
Orvensa includes AI-assisted evaluation features designed to support recruiters by generating summaries, structured insights, and scoring suggestions.
These outputs are provided for decision-support purposes only. They do not constitute automated hiring decisions.
The final hiring decision must always be made by a human reviewer.
AI outputs may contain inaccuracies and should be reviewed critically before being relied upon in recruitment processes.
5. Acceptable use
Users must not misuse the service.
- upload unlawful or discriminatory job criteria,
- process personal data without a lawful basis,
- attempt to reverse engineer or disrupt the service,
- use the platform for purposes unrelated to recruitment.
6. Billing and subscriptions
Orvensa may be offered through subscription plans. Billing is handled through a third-party payment provider.
Subscription fees, billing cycles, and plan limits are described on the pricing page or in the billing interface.
Payments and subscription management are processed via Stripe.
7. Availability and changes
Kobenski BV aims to maintain reliable service availability but cannot guarantee uninterrupted access.
The service may be modified, updated, or improved over time.
8. Data and privacy
Personal data processed in connection with Orvensa is handled according to the Privacy Policy.
Organizations using Orvensa remain responsible for ensuring lawful processing of applicant data.
9. Intellectual property
The Orvensa platform, including software, design, and related materials, is the intellectual property of Kobenski BV.
Customers receive a limited license to use the service in accordance with these Terms.
10. Limitation of liability
To the maximum extent permitted by law, Kobenski BV shall not be liable for indirect, incidental, or consequential damages arising from the use of the service.
Liability is limited to the amount paid for the service during the twelve months preceding the claim.
11. Termination
Access to the service may be suspended or terminated if users violate these Terms or misuse the platform.
12. Governing law
These Terms are governed by the laws of Belgium.
Disputes shall be subject to the jurisdiction of the competent courts of Antwerp, Belgium.
13. Changes
Kobenski BV may update these Terms from time to time. Continued use of the service after updates constitutes acceptance of the revised Terms.
